Renewal pricing is based on the previous school year’s certified enrollment numbers as reported to DPI and made available in WISEdash. Renewal pricing cannot be calculated until this information is released.
Within one week of the certified enrollment data being released, everyone designated as their district’s/school’s WSDLC Main Contact will be emailed their renewal quote, along with information on how to approve their renewal.
The renewal period also serves as an opportunity for districts and schools to update their Membership information, including contact information and grade-level access.

WSDLC Main Contacts have all received their district’s renewal quotes, delivered to their inboxes, as of March 17th.
If you haven’t seen your renewal quote come through, reach out to the WSDLC Project Managers at wsdlc-info@wils.org, and we’ll get that [re]sent to you.
As a reminder, at their January meeting, the WSDLC Board voted to keep 2026-27 per-student pricing steady from 2025-26! Instead of increasing the per-student cost to $1.72 for the 2026-27 membership year, the per-student cost will remain $1.68/student for the upcoming year.

Annual Renewal Period Timeline

Mid-March
Renewal Period Opens
Within one week of DPI releasing the most recent certified enrollment numbers, WSDLC Project Managers will calculate every member’s renewal cost; and will email renewal quotes and information to designated WSDLC Main Contacts.

April through July
Renewal Period Continues
WSDLC Member districts and schools can renew their WSDLC membership during this period.
WSDLC Project Managers will send out monthly reminders and price quote sheets to WSDLC Main Contacts at districts/schools that have not responded.
Mid-August
Renewal Period Closes
Renewal decisions are due on August 15th.
Any districts/schools that WSDLC Project Managers have not heard from will be automatically renewed at the quoted price.
September
Invoices Are Sent
All WSDLC Member Main Contacts and Billing Contacts will receive their district’s/school’s WSDLC renewal invoice by the end of September (with exception to those districts/schools that requested an earlier invoice).
Invoices will be sent from WiLS’ Financials team (financials@wils.org), and invoices should be paid to WiLS.

When and how is renewal pricing calculated?
WSDLC membership renewal costs are calculated by multiplying the FTE for your WSDLC-enrolled schools and grades as listed in WISEdash by $1.68*.
Timing is dependent on when DPI releases certified enrollment numbers that are used to calculate costs, and is generally by mid-March each year. WSDLC Project Managers typically have pricing ready within one week of these numbers becoming available.
*In 2026, the WSDLC Board approved a three-year plan for per-student fees, holding the first year steady then implementing a 1% increase for the following two years:
2026-27: $1.68/student
2027-28: $1.70/student
2028-29: $1.72/student
The WSDLC Board will review costs and establish another plan for per-student fees in Spring 2029.
How do I renew (or not) our District’s WSDLC Membership?
There are two ways to let us know your WSDLC Membership Renewal decision:
- Complete the WSDLC Membership Renewal Form (link included with your renewal pricing quote)
- Email the WSDLC Project Managers your decision
WiLS Cooperative Purchasing Members have a 3rd option for indicating their renewal decision: Update your WSDLC Membership in your MyWiLS account.
How can I add/remove schools/grades to/from our WSDLC Membership?
WSDLC Members can update their access at any time during the year, and many districts choose to do this during the renewal period.
There is a space in the WSDLC Membership Renewal Form to indicate any changes you would like to make. You can also reach out to the WSDLC Project Managers to indicate changes to your students’ access.
Changing CALs for Schools/Grades Already Enrolled
If you are only changing the collections that any of your students have access to, there will not be a change in your quoted price nor will you need to sign any updated paperwork.
Simply let the WSDLC Project Managers know (either in the WSDLC Membership Renewal Form or via email at wsdlc-info@wils.rog) which Collections you would like your schools/grades to have access to; we’ll get that information on to OverDrive; and those changes will be made and go into affect on September 1st. (If you would like changes implemented earlier, let us know and we can coordinate that with the WSDLC OverDrive team.)
Example: Grade 5 currently has access to the Lower High School Collection, but you now want them to have access to the Middle School Collection
Adding Access for Schools/Grades Not Yet Enrolled
If you are looking at add access for a school or grade that doesn’t currently have access to the WSDLC, your quoted cost will change. Once you let the WSDLC Project Managers know of your request (either via the renewal form or by email), we will calculate your updated cost and prepare for you an updated OverDrive Agreement form to sign and return. Once the new OverDrive Agreement has been signed and returned, you can expect updates to go into affect on September 1st. (If you would like changes implemented earlier, let us know and we can coordinate that with the WSDLC OverDrive team.)
Requested access updates will not be finalized until the new OverDrive Agreement has been signed and returned to us. If we do not receive your signed, updated Agreement, you will be invoiced your original quoted cost and access will not be updated.
Removing Access for Schools/Grades Currently Enrolled
If you would like to remove access for any of your schools or grades, your quoted cost will change. Once you let the WSDLC Project Managers know of your request (either via the renewal form or by email), we will calculate your updated cost and prepare for you an updated OverDrive Agreement form to sign and return. Once the new OverDrive Agreement has been signed and returned, you can expect updates to go into affect on September 1st. Absolutely!
Our default is to group all enrolled schools/grades together on a single quote/invoice. If your district/school needs pricing separated by school, just let us know and we can create an updated quote if needed. WiLS can also send a single invoice with each schools’ pricing separated; or can create a separate invoice for each school.
